2. How do we obtain your personal data?

In most cases, we receive your personal data because you provide them to us. Sometimes, we also receive your data from another source, such as your employer or organization (for example, a student association).

3. For what purposes do we collect your personal data?

Entering into and executing the agreement
Flipside collects your data for the purpose of entering into and executing the agreement. When you request a quote or fill out the contact form on the website, we process data such as your name, email address, telephone number, and any other data you provide. We need this information to contact you and make you an offer.

If you decide to accept our offer? Great! We need some data to execute the agreement. For example, we may ask for your name, address, date of birth, email, telephone number, information about physical condition, medical implications, clothing size/shoe size, weight, height, dietary preferences or food allergies, insurance, policy number, bank and payment details, and emergency contact telephone number. Flipside requests this information so that the booking can be reserved, confirmed, and completed, to keep the organization and participants informed about the trip, to send an invoice, and to ensure that the trip runs smoothly. Insurance policy numbers are processed to verify whether you have insurance.

Flipside may process so-called special personal data. These may include data about the health and medical condition of participants.

In order to ensure that your adventurous journey goes smoothly, we would like to know if you are able to make the trip, if we can meet dietary requirements, and how we can handle any medical incidents. It is not mandatory to provide information about dietary preferences or food allergies, your physical condition, medical implications, information about your insurance, etc. However, if you do not provide the necessary personal data, the service may not always be provided.

Flipside only processes special personal data with your explicit consent, or when we have another legal basis under Article 9(2) of the GDPR.

With your consent, Flipside may share information about dietary preferences or food allergies (to the extent that this has a medical or religious reason), your health, etc., with the relevant travel service providers (such as accommodation, meal providers, etc.).

Handling complaints
If you contact Flipside because you have a question, request, or complaint about Flipside or a trip, we store your message and contact details so that we can respond to your message. We process this data based on the agreement when the question, request, or complaint relates to our services. In all other situations, we process the data based on our legitimate interest in being able to respond to your message.

Website analysis
We use cookies to ensure the proper functioning of the website, to analyze website usage, and to track visitors (retargeting). We process this data with your consent. You can read more about this under the "Cookies" section. You can always object to any form of profiling.

Compliance with legal obligations
It may happen that we need to process your personal data because the law requires us to do so.

5. How long do we retain your data?

Flipside does not retain your data longer than necessary for the purposes mentioned in this privacy and cookie statement. We determine the required retention period based on legal requirements, regulations, and any potential claim risks. We have established the following retention periods:

  • We retain administrative data for seven years (as required by law).
  • Data concerning your health and medical condition are retained for the duration of the agreement and deleted within one month after the return from the trip.
  • Each cookie placed by our website has its own expiration period. You can read more about this later in this statement.
  • We retain data of job applicants for up to 4 weeks after the end of the application process if you were not selected for the position. With your consent, we retain this data for up to 1 year after the end of the application process so that we can contact you again if another exciting position becomes available.

6. How do we secure your data?

Flipside naturally wants to prevent your data from falling into the wrong hands. Therefore, we have implemented appropriate security measures to prevent misuse and unauthorized access to your personal data, such as a secure connection using Transport Layer Security and regular software updates. We regularly evaluate our privacy policy.

7. Do we share your data with third parties?

Flipside shares your data with several parties when permitted by law. We provide data to third parties when necessary for the performance of our agreement, you have given your consent for this, we have a legitimate interest, or the law requires us to do so. If something goes wrong during the trip, we may share information with the designated contact person, emergency services, insurance companies, and hospitals. Your data may be shared with the following (categories of) recipients:

  • Accounting software
  • Travel service providers

  • Cookie providers
  • IT suppliers and service providers

It is possible that your personal data will be transferred or stored outside of Europe. We only do this if there is an adequate level of protection for the processing of your personal data. For example, a model contract with additional safeguards.

8. What are your rights?

We've said it before: you remain in control of your data. If you have provided us with personal data, you can request to view, modify, receive a copy, delete, and restrict the use of this data free of charge. If you have given consent for the processing of your data, you can withdraw this consent at any time. You can also object to the use of your data for marketing purposes at any time.
